Organize employees by department in Connect
Create department titles, assign them to employees, and keep department membership current.
Purpose
Organize employees into departments so you can find the right people and send benefits to a whole department.
Connect represents a department with a community title. Create one reusable title for each department, then assign that title to the relevant employees.
Before you start
You need permission to assign roles. First make sure each employee already appears in Members.
Use stable department names such as “Administration”, “Kitchen”, or “Events”. Avoid creating a new title for every campaign or benefit.
Step by step: create a department
- Open Settings.
- Find Community Titles.
- Select Create title.
- Enter the department under Title name.
- Under Title type, choose Employee.
- Choose a Badge color that remains easy to distinguish from your other titles.
- Configure any title benefits only if everyone in this department should receive them.
- Save the title.

Step by step: assign an employee to a department
- Open Community Titles.
- Select Assign community title.
- Under User, use Search by name or email to find the employee.
- Select the department title.
- Add an expiry date only when the assignment is temporary.
- Confirm the assignment.
- Search for the employee or title to verify the result.
An employee can hold more than one title. Use one title for the employee’s department and separate titles for temporary roles or access when needed.
Move an employee to another department
- Open Community Titles and find the employee.
- Assign the new department title.
- Confirm that the new assignment is visible.
- Revoke the old department title.
- Check any benefits or access rules tied to the old title.
Assigning the new title first avoids an unnecessary gap in department-based access or benefits.
Manage many assignments
For a large initial setup or reorganization, prepare a spreadsheet and use the member import flow. See Import members from a spreadsheet.
After an import, spot-check several employees in Members and Community Titles before distributing benefits.
How departments are used elsewhere
Department titles can be used to:
- filter the member list;
- send coupons to Community title holders;
- control eligibility for selected experiences or offers;
- distinguish permanent departments from temporary event teams.
Troubleshooting
I cannot create or assign a title
Ask a page administrator to check that your role includes permission to assign roles.
The employee does not appear in the user search
Confirm that the employee exists in Members. Search by email, then check Invited and Former members.
A benefit went to the wrong group
Review which people currently hold the selected title. Correct the assignments before sending another distribution; sending coupons creates real coupons and should not be used as a test.
