Send an event-day coupon campaign
Issue a timed benefit to registered or checked-in attendees and monitor redemption during the event.
Purpose
Send a personal coupon to people registered for an event, or only to attendees who have checked in.
Use this for event-day benefits such as a drink, meal, cloakroom item, or merchandise allocation.
Prepare the product
- Open Products and select Create product.
- Give the benefit a clear name and redemption description.
- Set the category, age limit, price, and stock.
- Under When can it be used?, set the event-day redemption window when the coupon must only work during a specific period.
- Create the product and review it before distributing anything.
Use tracked inventory when the benefit has a hard quantity limit. The distribution will stop without creating anything if the remaining stock cannot cover the full send.
Choose the event audience
- Find the product and select Send coupons.
- Under Recipients, choose Event attendees.
- Select the event.
- Turn on Checked-in only when the campaign is for people who actually arrived. Leave it off when everyone with a ticket or RSVP should receive the coupon.
Guests without a Happenings account are skipped because a personal coupon needs a wallet owner.
Review and send
- Set Coupons per recipient.
- Check the recipient count and projected coupon total.
- Optionally use Redemption window for this send to override Works from or Stops working for these coupons only.
- Add an Internal note with the event and reason.
- Confirm the event, checked-in setting, quantity, validity, and available inventory.
- Select Send coupons.
After the send, review its recipient results. Use Coupons for individual issued coupons and Redemptions for live use and the Redemption report.
Operate redemption
Staff can open an issued coupon and redeem its units from Coupons. For fast event service, open the event's Bar screen and enter the guest's six-character coupon code.
Brief staff on the product name, allowed units, age check, and operating window before doors open.
Troubleshooting
The recipient count is too low
Check whether Checked-in only is on. Confirm that attendees have checked in and have Happenings accounts.
The recipient count is too high
Stop before sending. Confirm the selected event and whether all registered attendees or only checked-in attendees should receive the benefit.
The send reports insufficient stock
No coupons are created. Reduce the quantity or audience, or adjust stock when the approved campaign limit allows it.
A coupon should stop working early
Use Re-time redemption for the affected product and preview the exact coupon count before applying the change.
