Run event-day check-in and waitlist in Connect

Connect Web

Prepare the door, find guests, check people in, undo mistakes, and manage the waitlist during an event.

Purpose

Run a predictable door operation while keeping the attendee list and check-in history accurate.

Prepare before doors open

  1. Open Events and select the event.
  2. Open Attendees and compare the total with the expected ticket or registration count.
  3. Search for a few known guests to confirm the data is available.
  4. Open Waitlist and review who is waiting.
  5. Open Check-in or Live on the devices used at the door.
  6. Confirm that each operator has the right page and event selected.
  7. Test one permitted check-in and Undo it afterward.
  8. Agree how the team handles missing guests, duplicate scans, plus-ones, and waitlist promotions.

Check in by guest code

  1. Open Check-in.
  2. Place the cursor in Guest code.
  3. Scan or paste the code. Most barcode scanners type the code and press Enter automatically.
  4. Confirm Check-in successful.
  5. Check the guest name or ticket before admitting the person when identity matters.

Find a guest manually

  1. Open Live.
  2. Use Search guests.
  3. Filter by All, Checked in, or Not checked in.
  4. Confirm the guest and ticket.
  5. Select Check in.

Use the complete email address when several guests have similar names.

Undo a mistake

  1. Open Recent check-ins or find the guest under Live.
  2. Verify the incorrect record.
  3. Select Undo.
  4. Confirm that the guest returns to Not checked in.
  5. Tell the other door operators if the same guest is being handled on another device.

Do not create another attendee record to correct a check-in error.

Monitor arrivals

Use the Live desk to track:

  • how many are checked in;
  • how many are still to arrive;
  • Check-ins by hour;
  • Recent arrivals;
  • active and undone check-ins.

Use this view for situational awareness. Use the attendee and order records when a customer issue needs deeper investigation.

Manage the waitlist

When capacity frees up:

  1. Open Waitlist.
  2. Review Queue and Next up.
  3. Confirm the person and status.
  4. Use the available promotion flow when the person should become active.
  5. Verify the resulting registration or purchase requirement before admission.

To remove someone:

  1. Select Remove.
  2. Decide whether to notify the user.
  3. Add an optional message when context is useful.
  4. Confirm the removal.

Do not skip people in the queue without recording the operational reason.

Close the door operation

  1. Compare checked-in count with the physical headcount when possible.
  2. Review undone check-ins and unresolved guest cases.
  3. Record any manual exceptions.
  4. Export or retain attendee data only when required by the event process.
  5. Remove temporary team access after the event when it is no longer needed.

Troubleshooting

A code fails

Check that the correct event is open, then search the guest manually. Investigate the attendee or order instead of repeatedly scanning an invalid code.

The guest says they paid but is missing

Search by email in Attendees and Orders. Confirm payment and fulfillment before admitting the person as ticketed.

Two operators check in the same person

Use the live status and recent history to determine the active record. Undo only the incorrect action and communicate the result to the door team.
