Offboard an employee in Connect

Verify the employee, remove current assignments, and move the member to Former members.

Purpose

Remove an employee from the active page population without losing the record needed for later review.

Removing a member moves the person to Former members. It is different from deleting historical usage or transaction data.

Before you start

Confirm the employee by email, not name alone. If an end date is in the future, complete the offboarding on the agreed date rather than removing access early.

Review whether the employee has:

  • a department or other community titles;
  • active memberships;
  • outstanding benefits or coupons;
  • responsibilities that must be transferred to another person.

Step by step

  1. Open Members.
  2. In Search members…, search for the employee’s email address.
  3. Open the employee and verify that this is the correct person.
  4. Record or transfer any operational responsibilities outside the member record when required by your organization.
  5. Review and revoke department or access titles that should end.
  6. Start the member removal action.
  7. In Remove this member?, verify the person once more.
  8. Select Remove member. Select Keep member if any detail is uncertain.
  9. Open Former members and search for the employee to confirm the result.

After removal

Check any workflows that used the employee’s department or role. Removing one employee should not require deleting the shared department title.

Previously issued or redeemed benefits may remain visible for audit purposes. Do not try to erase transaction history as part of ordinary offboarding.

If the employee returns

Search Former members before creating a new record. Reuse or restore the existing identity through the available member-management flow, or ask Happenings support if the correct action is unclear.

Troubleshooting

I cannot find the employee

Search by email, clear filters, and check Invited and Former members.

I cannot remove the member

Ask a page administrator to check your member-management permission. Do not create a replacement record to work around missing access.

I removed the wrong person

Stop making further changes and contact a page administrator or Happenings support with the affected email address. Do not create a duplicate member.
