Invite and manage your Connect team

Connect Web

Give colleagues the right backoffice access, review pending invitations, change roles, and remove access safely.

Purpose

Give colleagues access to your page in Connect without granting more permission than their work requires.

Choose the right role

Connect offers these team roles:

  • Admin — full access to settings and features.
  • Editor — can create and edit events, deals, and content.
  • Finance — can access finance, payouts, and reports.
  • Communication — manages posts, votes, notifications, and albums.
  • Moderator — moderates content and handles member reports.

Use the narrowest role that covers the person’s responsibilities. Do not share administrator accounts.

The Finance role can review finance information, payout status, and reports. It cannot create a payout, approve or send one, mark it paid, cancel it, or change its status. Those payout operations are handled by Happenings finance or platform administrators.

Step by step: invite a team member

  1. Open Settings.
  2. Open Team.
  3. Select Add.
  4. Under Team member email, enter the person’s email address.
  5. Select Continue.
  6. Under Assign a role, choose the appropriate role.
  7. Select Continue.
  8. Under Review invitation, verify the email address and role.
  9. Select Send invite.
  10. Return to Team and confirm that the person appears under Active team or as Pending.

If the email belongs to an existing Happenings user, access may be added immediately. Otherwise, Connect sends an invitation.

Set temporary access

Use Set expiry when a colleague, volunteer, or external partner only needs access until a known date.

  1. Find the person under Active team.
  2. Select Set expiry or Edit expiry.
  3. Enter the date under Expires.
  4. Save the change.
  5. Confirm that Expires {date} appears for the role.

The role is revoked automatically after the expiry date.

Change a role

  1. Open SettingsTeam.
  2. Find the team member.
  3. Select Change role.
  4. Choose the new role.
  5. Confirm the change.
  6. Ask the person to verify that the required area is available and unrelated areas are not.

Manage pending invitations

Review pending invitations regularly. If an email is wrong or access is no longer needed, cancel the invitation instead of sending another one.

Remove access

  1. Confirm the person by email.
  2. Transfer any operational responsibility first.
  3. Remove the person from Active team.
  4. Verify that the person no longer appears with an active role.
  5. Review the audit log when the access change is security-sensitive.

Removing backoffice access does not remove the person’s ordinary membership of the page.

Recommended access review

Review the team:

  • when someone changes responsibility;
  • before and after a large event;
  • when a temporary role expires;
  • when a colleague leaves the organization;
  • at a regular interval chosen by your organization.

Troubleshooting

The invitation is still pending

Confirm the email address. Ask the recipient to check spam and sign in with the same email. Cancel and recreate the invitation only if the address was wrong.

The person can see too much or too little

Compare their tasks with the role descriptions, then use Change role. Avoid making everyone an Admin to solve one missing permission.

I cannot manage the team

Your own role does not have sufficient access. Ask an existing page administrator to perform the change.
